Personal Lines Virtual Assistant

Position Type: Remote (Independent Contractor)

Schedule: 8 am to 5 pm Pacific

Rate: $8/hr

Benefits: PTO and US Paid Holidays

We are looking for a detail-oriented, tech-savvy Virtual Assistant to support our personal lines service team with client follow-up, policy servicing tasks, and data hygiene in our agency management system. This is a non-licensed support role: the VA

handles the routine chasing, documentation, and system work so our licensed account managers can focus

on coverage reviews and client relationships.

This is a full-time remote position that works inside our daily workflow, so we need someone who is

comfortable being an active part of a team through chat, keeps good notes, and can own a task from start to

finish with minimal supervision.

Key Responsibilities

Priority tasks

• Payment and past-due follow-up: monitor inhouse and outside carrier portals for past-due and

pending-cancel policies, contact clients by phone, text, and email per our follow-up cadence, and log

every outcome in AgencyZoom. Escalate to the assigned account manager at the defined handoff

point.

• Mortgagee and lienholder changes: process add/change/delete requests on carrier portals, send

confirmation to the mortgagee or lender, and note the file.

• Documentation follow-up: chase underwriting trailing documents (photos, inspections, signed forms,

proof of prior insurance) and update the AgencyZoom task when received.

Ongoing service support

• Renewal support: work the second- and third-touch renewal follow-ups after AgencyZoom

automations run, confirm client intent, and route anything that needs licensed judgment to the

account manager.

• Prepare and send cancellation forms and other client-signature documents for e-signature and track

them to completion.

• Keep AgencyZoom clean: update contact info, close completed tasks, fix duplicate or incomplete

records, and keep service request tickets one-item-per-ticket.

• Respond to Google Reviews using agency-approved language.

• Maintain files and shared documents in Google Drive; communicate with the team in Google Chat

throughout the day.

What This Role Does Not Do

To stay compliant with Texas licensing rules, the VA will not quote, bind, recommend coverage, explain

coverage differences, or advise a client on what to buy. Any client question about coverage, pricing, or

claims gets handed to a licensed account manager and logged in AgencyZoom.

Ideal Candidate Profile

• Prior experience working in a U.S. insurance agency (personal lines preferred: home, auto, wind,

flood)

• Hands-on experience with AgencyZoom (strongly preferred) or another agency management / CRM

system

• Comfortable working inside carrier portals and learning new ones quickly; experience with Farmers or

Texas coastal carriers (TWIA, flood, SageSure, etc.) is a plus

• Experience with e-signature tools (DocuSign or similar) and Google Workspace (Chat, Drive, Gmail)

• Strong written and spoken English, professional phone manner, and clean grammar in client-facing

emails and texts

• Self-motivated, organized, and able to work a task list independently with minimal supervision

• Detail-oriented: follows a process the same way every time and documents what was done

• Thrives in a fast-paced environment and is open to new tools and process changes

Schedule and Setup

• Full-time, Monday through Friday, working U.S. Central Time business hours

• Time tracked through AgencyZoom clock-in/out; daily check-ins via Google Chat
